Roles, permissions, and what a teammate costs
This article covers the two main roles, Admin and Member. An Admin can do everything. A Member’s access is the Member role plus a short list of permissions that an Admin turns on or off for each person.
An outside partner (someone who should work only their own book) is a Member with a narrow set of permissions: open Manage Permissions on their row and pick the Outside partner preset. They then see only the contacts and deals assigned to them (or to a team you add them to, so leave them off teams whose records they should not see), are not shown who else is on the team, can skip trace but cannot export or run workflows by hand, and do not get Automations, the Library or Memory, the Marketplace, organization settings, spending or API keys.
Admin vs Member at a glance

| Other people’s deals | Every deal in the organization’s pipelines | Only deals they are a participant on, or that are linked to a contact they (or their team) are assigned to. The View all deals permission opens every deal. |

| Developer API keys | All keys in the organization | Their own keys, while they hold the API keys permission |
| Webhooks | Yes | No |
Per-member permissions
Section titled “Per-member permissions”An Admin always holds every permission and cannot be restricted. For a Member, each permission starts at its default and an Admin can switch it on or off for that person.
| Permission | What it allows | Member default |
|---|---|---|
| View all contacts | See every contact across the team, not just their own. | Off |
| View all deals | See every deal in the pipeline, not just their own. | Off |
| Use all phone numbers | Call and text from any of the team’s phone numbers, and see all call and text history. | Off |
| Skip trace | Look up owner contact info by skip tracing contacts and properties. | On |
| Export | Download and export contacts, properties, and skip trace results. | On |
| Run workflows | Manually run workflows on contacts and deals. | On |
| View contracts / Manage contracts | See the team’s contracts / create, send and edit them. | Off |
| See teammates | Teammates’ names in pickers, who wrote a note, and teammates’ alerts. Off for an outside partner. | On |
| Automations | Workflows and AI employees: the Automations page. | On |
| Files | The Library (files, templates, forms, uploads and downloads) and Memory pages. | On |
| Marketplace | Browse and buy from the marketplace. | On |
| Organization settings | See the organization’s settings pages and setup (their own settings always stay). | Off |
| Spend money | Buy seats and phone numbers, and invite people (an accepted invite can add a paid seat). | Off |
| API keys | Create keys for the developer API. | On |
| Goliath’s computer | Let Ask Goliath use its own computer for them: browse sites, sign in and fill forms. Shown only when computer use is on for the organization. | On |
A new Member’s permissions start at the defaults in this table. To let a teammate (for example, a VA) see your deals, either assign them to those deals or contacts, or turn on View all deals for them.
A Member without Export who tries to download gets “You don’t have permission to export. Ask a team admin to turn it on for you.”
Change a member’s role or permissions
Section titled “Change a member’s role or permissions”- As an Admin, open the organization menu → Organization → People.
- Open the member’s row actions.
- Choose Manage Permissions (or the shield button on their row) to set their permissions: start from a preset (Member, Full visibility, Outside partner) and adjust. The panel shows their app as it will look. Or choose Change Role to make them an Admin or a Member.
A Member cannot change their own role or anyone else’s. To become an Admin, or to have someone added or removed, ask one of your workspace’s Admins.
Manage Permissions is not offered on an Admin’s row, because an Admin already has everything. A change can take up to a minute to reach the member.
When an Admin sets the team inbox view as the organization default, they can also turn on Use all phone numbers for every Member in one step.
Does adding a teammate cost extra?
Section titled “Does adding a teammate cost extra?”It depends on whether your plan’s included seats are full.
- Every plan includes a number of seats. Billing shows how many your plan includes and how many are in use. Every active teammate uses one seat, whatever their role. A pending invitation does not use a seat until it is accepted, and referral partners never use one.
- Within the included seats, adding someone costs nothing extra.
- Past the included seats, each extra person adds one paid seat. You never have to buy seats or upgrade before inviting. On an active paid subscription, when the invitee accepts, Goliath adds a paid seat to the subscription automatically and charges the card right away, prorated for the rest of the billing period. During a trial, or while a payment has failed, the seat is counted but no charge is made at that moment. The invite dialog warns you first: it shows how many invite slots remain before another paid seat is added, or that your seats are full.
- What an extra seat costs is shown on the Billing page and in the Buy seats dialog as a per-seat monthly price. It is a monthly add-on even on an annual plan. Open Billing for your organization’s current price rather than relying on a copied number.
- Buying seats ahead of time is optional. An Admin can add or remove seats from Buy seats; you cannot remove seats that are in use.
- Removing a teammate frees their seat for someone else, but does not refund it. A paid extra seat stays on the subscription for the rest of the billing period so it can be refilled, and is dropped at renewal if it is still empty.
- An organization with no plan includes 2 seats and must choose a plan to add more.
In the app, inviting teammates and buying seats are Admin actions, and a Member’s only with the Spend money permission. See Invite a teammate and Manage billing, plans, and a trial.
